Kia ora Partners, Welcome to the University of Otago International Education Consultant Newsletter - 8 July 2024 - Scholarship Special EditionWith our new University of Otago brand launched in May, we have also launched an expanded suite of international scholarships and eVision scholarship application functionality.Please find below some important key messages for all education counsellors regarding these exciting scholarships. Note that onshore New Zealand international student instructions are further below. Please keep this information handy and share with your colleagues and wider team.You can find the summary of our Otago scholarship offer here.Commission is still paid on the full tuition fee valueScholarships are still good for you too! We pay commission based on the full tuition value, not the reduced scholarship value.Always select YES for scholarships!When prompted by the eVision question asking if the student would like to be considered for international scholarships, please always select yes on behalf of your student. This allows your student to be considered for the University of Otago Global Scholarships, the Vice-Chancellor's Scholarships for International Scholarships and Partnership Scholarships. If this question is not answered, or if the counsellor clicks ‘no’, then the student cannot be considered for any scholarship even if they were eligible. We need an active selection of ‘yes’  for our auditing requirements. Scholarships are good for you and your students – always select ‘YES’!You must ACCEPT the scholarship offer within the 2-week deadline.Most new offshore Bachelor degree international student applicants will be eligible for, and offered the Vice-Chancellor’s Scholarship for International Students (NZ $10,000) OR the Global Scholarship (NZ $15,000 - for students from selected countries). The conditional or unconditional Offer of Place will indicate which scholarship your student is eligible for. This will then be followed by a separate Scholarship Outcome Notification (usually released on Fridays). You need to ACCEPT the scholarship offer within the two-week deadline from the notification being sent. As an agent, you can go to ‘All alerts’, click the scholarship notification, view the details and click the ACCEPT button for the scholarship.International Academic Excellence Scholarship (worth a further ~NZ $35,000) – not an automatic application, 2 weeks to apply, 2 weeks to acceptFor your top academic students to be considered for the prestigious International Academic Excellence Award, they must have selected ‘YES’ to be considered for international scholarships and have also accepted the first scholarship offer (of either the Vice Chancellor International or Global Scholarship, as relevant) within the two-week deadline.Once the first scholarship offer is accepted, you will be invited to apply to the International Academic Excellence Scholarship through eVision (the application portal). This involves a couple of additional questions to support the application and the opportunity to upload any other relevant academic performance related evidence. The invitation to apply for this additional scholarship is only open for 2 weeks from the time you are invited (directly after accepting the Vice-Chancellor or Global Scholarship). An application must be completed to be considered for this scholarship.The International Academic Excellence Scholarship panel meets regularly, and scholarship decisions are made regularly. A formal notification of a successful scholarship outcome will be generated via eVision (these notifications generally come out on a Friday). As an education counsellor, you can check in your eVision agent portal, select all alerts, click on the scholarship notification, view the details and accept. There is a 2-week period to accept the International Academic Excellence Scholarship as well.TWO Accepts!: Accept scholarship(s) & accept offer of place!Please remember to actively accept a scholarship offer – remember there is a 2-week deadline to do so for each scholarship offer being made.Please also actively accept the conditional or unconditional Offer of Place as well.Accepting the scholarship and Offer of Place is not binding forever, but if you do not accept the scholarship or Offer of Place (or if you select 'no' to scholarships at the start), then the student misses out entirely on the scholarship opportunity at Otago.Deferred applications – say ‘Yes’ to scholarshipsApplications that were submitted prior to 1 May 2024, and/or which have been deferred to semester 1 2025 are required to actively say ‘yes’ to be re-considered for a relevant scholarship. This is once again connected to auditing requirements.  You may receive communication from our admissions team asking you this question – please just confirm ‘yes’, otherwise your student cannot be considered for a scholarship for 2025.Partnership ScholarshipsThese scholarships are relevant for students coming through an established ‘articulation agreement’ (credit transfer, 2+2 type arrangement). To be considered, the counsellor needs to have selected ‘yes’ in eVision when prompted about being considered for international scholarships. This is not an unlimited scholarship, so a selection is made.Onshore NZ international students – different process! Scholarship deadline 15 AugustInternational students currently in a New Zealand high school or foundation studies programme have a different scholarship process. These students are eligible to apply for the University of Otago Undergraduate Entrance Scholarships – alongside their domestic peers.International onshore students must actively submit an active application following the instructions from here. Only one application is needed to be considered for a variety of scholarships and values. Aside from being an international student, attributes of leadership, sporting, cultural and community involvement are relevant to this scholarship programme.Onshore international students starting a Bachelor degree will generally be eligible to be awarded a scholarship value of NZ $10,000 towards tuition. Top academic students can also be considered for the Academic Excellence Award alongside their domestic peers – this is a competitive scholarship based on grades and valued at ~ $35,000. This means a potential total value of up to NZ $45,000 for first year students.Please ensure your onshore international students complete the Undergraduate Entrance Scholarship application before the deadline of 15 August. Results are made in early/mid October. Kia ora Partners, Welcome to the University of Otago International Education Consultant Newsletter - March 2024 update.Vice-Chancellor Appointment: former Deputy Prime MinisterWelcoming new students!Applications for Semester 2 (July) 2024Next steps for Semester 2 offer holdersNext pathway intakes: Foundation Studies Certificate (June and October) and English for Otago (October)Document certification remindersAgent manualApplications for semester 1 (February) 2025New Digital Undergraduate Prospectus 2025Collaborate with us on Instagram!The University has recently announced the appointment of former Deputy Prime Minister The Hon Grant Robertson to the role of Vice-Chancellor, effective from 1 July 2024.  Mr Robertson has had a long association with the University of Otago, first as a student (he graduated with a Bachelor of Arts with Honours) and President of the Otago University Students’ Association, and later on holding a business development role with the University of Otago, which involved working with researchers, investors and businesses to develop and commercialise the University’s world-leading research. Mr Robertson has served as the Minister of Finance, Minister of Foreign Affairs and as the 19th Deputy Prime Minister of New Zealand from 2020 to 2023, under the Dame Jacinda Ardern-led Labour government.What a fantastic start to the year, welcoming so many new international students from across the globe to the University of Otago – New Zealand’s first university! Among the many orientation activities, the official welcome event was a special highlight and featured a traditional Māori welcome, including kapa haka performance.Classes are now well underway, the campus is full of activity and we trust your students are settling in well.  A reminder that there are many different support services and layers of support right across the university to support students in achieving academic success, supporting social integration and maintaining good health and mental wellbeing too. A key go-to service is the International Student Support Team - this is a specialist team of compassionate and professional International Student Advisers, who are available on a confidential basis to assist all international students with any issues or questions that may arise during their study period. We warmly welcome your students and thank you for your partnership with Otago! Apply for student visa!   Avoid delays and the stress of last minute visa applications. If your students have received their full/unconditional offer for studies starting in semester 2, Immigration New Zealand is accepting applications for student visas. As always, a complete application (with tuition fee receipt when applicable) helps avoid delays in processing times. Residential college accommodation applications: open from 1 April -  apply by 1 June. The colleges are the perfect accommodation option for new first-year Bachelor degree students (and Foundation Studies students). The colleges are owned and managed by the University and offer wrap around support to ensure a safe and comfortable ‘home away from home’, with excellent social programmes and full support services.  The colleges also offer international students the opportunity to live and study alongside our domestic students. Apply via the eVision account using the accommodation tab. UniFlats accommodation applications: open from 1 April – apply by 1 June. UniFlats are University-owned houses enabling international students to have the ultimate Otago ‘flatting’/shared living experience with other international students and a ‘Kiwihost’, New Zealand student. Each student has their own private bedroom and enjoys co-living with other students, sharing cooking, cleaning and the overall student ‘flatting’ experience. UniFlats residents are predominantly international students on a Study Abroad/Exchange semester, students transferring into our degrees from partners or are joining us for postgraduate students. Accept the admission offer – connect with other new students! Please ensure your students actively accept the admission offer (look for the green button on the offer letter via eVision), so we can plan and prepare accordingly. In addition, students with a full admission offer and who have accepted the offer will be invited to join our ‘Goin’ app, designed especially for new international students to meet other new students preparing to move and start at Otago! We launched this app late last year to support new semester 1 international students as they prepared for Otago.  Over 90% of those students reported that be being part of the app helped them with practical matters by talking with other students, it improved their student experience and reduced their anxiety preparing to move countries and start at a new university. The next Foundation Studies Certificate intake commences the week of 17 June for all four academic streams (Health Sciences, Sciences, Business, and Arts/Humanities). Applications should be submitted as soon as possible to allow time for the student visa application and a smooth arrival for studies. The third intake for Foundation Studies starts in October (for the Sciences, Business and Arts/Humanities streams only).The next English for Otago intake is on 23 October – this specialised course is suitable for students who need to go up a level to meet English language requirements, for either undergraduate or postgraduate studies at Otago (e.g. go from IELTS 5.5 to 6.0 for undergraduate studies, or from IELTS  6.0 to a 6.5 for postgraduate studies).To apply for Foundation Studies Certificate and English for Otago, please visit the Pathway and English Language Centre website to submit an application.A friendly reminder that certification information should be clear and legible (we have had recent cases of very small text/stamps which are not easy to read). Please also ensure you include the following requirements when certifying documents (especially digital certification): The statement “Certified true copy”The certifying person’s name and authority (e.g Study Abroad role)The certifying person’s signatureThe certifying person’s role or institution stamp (this can be a digitally created “stamp” of the institution’s name or an official stamp if available)All of the above must be completed in English This is an example of a simple digital certification meeting all requirements:New counsellors in your team? Our usual application cycle opens from 1 May for studies commencing in February 2025. Please note that part of our International Marketing and Recruitment team starts back on 3 January, but the full team is back during the week of 8th January. We’d like to thank you very much for your ongoing support of Otago and wish you a very happy and healthy holiday period with family and friends. The University of Otago accepts IELTS One Skill Retake. Please note that we will not be accepting other combinations of scores from different tests, just the official One Skill Retake. The application deadline was 15 November for full degree studies and 1 December for Study Abroad applications. Admissions is currently prioritising applications that were submitted by the deadline. In case you have a very specific case with a complete application, please reach out to your Regional Market Manager to see if we can fast-track the offer. Our admissions team has reported that they are receiving many emails from education consultants chasing up offers, without having first checked their outstanding tasks or requests (which is holding up the offer being processed). Email alerts are sent to the assigned agency branch email, with the student details in the subject line and we do kindly ask that you check eVision before chasing up Otago. In a large majority of cases, the admissions team are waiting on the education consultant to provide information. If you have no outstanding tasks and are chasing up an offer, please kindly contact your Regional Market Manager (RMM) who is best placed to follow this up with our admissions colleagues. The admissions team is now in the peak processing period so it is more effective if you instead contact your RMM – they can fast track cases with admissions as appropriate. Please find our November and December updates for students who have full offers to study at Otago in Semester 1 2024. These updates focus on next steps and are sent directly to your students email addresses. We appreciate many of you help students to complete a number of these next steps on their behalf, so want to make sure you have awareness for our communication. Naturally, visa applications will be top of the list for you with Immigration New Zealand advising that applications should be submitted no less than 8 weeks before intended travel. A reminder that the official tuition fee receipt suitable for the visa application must be actively requested from the University of Otago (a screenshot from the eVision account is not sufficient). Please use this online form to request the official receipt – a copy can be sent to both you as the education consultant and to the student for their personal records. Note that the holiday season is coming – the University closes down at lunchtime Thursday 21 December and re-opens on 3 January 2024. Tuition fee receipts will not be produced during this time. A reminder, all you need from Otago is the unconditional Offer of Place and the tuition fee receipt (*) as part of their student visa application. You do not need to complete the declaration step in eVision before applying for the visa. Declaration does not take place until after the student is on campus and has attended an Orientation and Enrolment seminar. (*) not required for exchange students and those who have their fees paid on their behalf directly to the University of Otago At this point our UniFlats are full for semester 1 – if you have a Study Abroad or Exchange student who missed to apply by the 1 December deadline, please urgently reach out to your Regional Market Manager to alert us. The residential colleges are still able to consider late applications from full degree students – this is the best option for new starting Bachelor degree, Diploma students and Foundation Studies students. In addition, some of the colleges are also able to accept postgraduate students. If your student has missed to apply for accommodation, please do so urgently. Please note that in case you are working with a student bringing family, we do not have any options available from the university-owned accommodation. They will need to look for private options. The University of Otago has just gone live with Goin’ – a digital platform/app designed for new international students who have accepted their full offer to come to Otago, with other new international students. This platform is not for education consultants or university staff. Rather, it is a platform to help new students to connect and make friends and find interest groups, before they come to Otago! Invitations have been sent directly to students who have accepted their full unconditional offer of place at Otago.
