Registration changes
We have updated our registration process in line with the roll out of eVisas and sharecodes. eVisas are an online record of a persons immigration status and the conditions of their permission to enter and stay in the UK. They replace physical immigration documents like BRPs.
We will contact applicants in January with further information regarding registration step-by-step guidance, but here are the stages below so you are aware of the process they need to follow:
1. Complete online registration
Applicants should complete online registration as normal while they are waiting for their visa outcome. They will receive an email around 40 days before their course start inviting them to begin online registration. They can complete all steps up to the point where they need to input a sharecode.
They will need to create a UKVI account for their eVisa and generate a sharecode before they can book face-to-face registration. Follow these steps;
2. Setting up their UKVI account
Students will need to create a UKVI account to access their eVisa. We recommend they create the account as soon as they receive confirmation their visa is approved. They must set up the account using an email and password they can access throughout their time in the UK, so please do not set up their account using agency emails.
During their account set up, they will need to complete an ID check using the UKVI Immigration: ID check app. If they have an older phone, the ID check app may not work, so they can use a family member or friends phone for this step.
If they are struggling to set up or access their account, they can get help on the eVisa Webchat.
3. Link their eVisa to their UKVI account
Applicants should link their eVisa to their UKVI account before they travel to the UK. They must have Their eVisa account set up and linked before their face-to-face registration appointment as it can take 24 hours to sync.
4. Generate a sharecode
Once they have a UKVI account, with a linked eVisa and their Student Visa has been approved, they can generate sharecodes.
Sharecodes will be used to prove immigration status to employers, landlords and the University. They are valid for 90 days and new ones can be generated whenever needed.
In their UKVI account, students should select "other" for a Right to Study check sharecode.
5. Add the sharecode to their registration portal
Students should now input this sharecode into their Herts online registration portal. Once staff have checked the sharecode is valid, they will get access to the box to book the face-to-face registration appointment.
6. Attend face-to-face registration appointment
Students will complete their face-to-face registration appointment as in previous years. They will need to ensure they have access to their UKVI account and eVisa before the appointment.
Additional eVisa guidance
They should check the details of their eVisa are correct and contact UK Visas and Immigration for help if there are any issues. Read more about eVisas on AskHerts or the UK Government website eVisa guidance.
The Home Office also has a YouTube playlist of eight guidance videos.
